Position Title: Executive Assistant
Department: 2500|Dean of Liberal Arts
Responsibilities:
The College of Liberal Arts at the University of Louisiana at Lafayette is seeking an Executive Assistant to join the dynamic team in the Office of the Dean. The Executive Assistant will play a crucial role in facilitating the efficient management of office and college affairs. This individual will work closely with the Dean of the College of Liberal Arts to ensure the smooth operation of various administrative functions, including the processing of tenure, promotion, and sabbatical applications, efficient management of awards and scholarships, oversight of Commencement preparations, coordination of administrative tasks within the office and across departments in the college, scheduling appointments, and conducting graduation checks for all graduating students.
Key Responsibilities:
-Provide high-level administrative support to the Dean, including managing their calendar, scheduling appointments, and handling communications on their behalf.
-Process tenure, promotion, and sabbatical applications, ensuring accuracy, compliance with university policies, and timely completion.
-Efficiently oversee the management of scholarships, awards, and grants within the College of Liberal Arts, including the application and selection process.
-Take a leading role in coordinating Commencement ceremonies, ensuring smooth execution, and assisting with logistical arrangements.
-Collaborate with various departments within the College to ensure effective communication and coordination of administrative tasks, projects, and initiatives.
-Perform graduation checks for all graduating students, ensuring they meet academic requirements for degree completion.
-Maintain and organize important records, documents, and reports related to the College's activities.
-Help manage the day-to-day operations of the Dean's office, including procurement, budget tracking, and office supply management.
-Assist with special projects and events as needed, which may include research, data analysis, and preparation of reports.
Qualifications:Required Qualifications:
-Bachelor’s degree
-OR 4 years of administrative experience will substitute for the degree requirement
Preferred Qualifications:
- Experience working in an academic setting
- Strong communication and organizational skills
